FAQ

## Frequently asked questions

Answers about pricing, Smart Actions, your data, and how the cataloging works.

**How does the 7-day free trial work?**

Sign up with your email or a Google/Apple account — no credit card required. You get Plus for 7 days: Smart Scan, Smart Search, barcode lookup, sharing, and cloud sync. When the trial ends, your account moves to the Free plan, and nothing you added is deleted.

**How does photo cataloging work?**

Take a photo of an item with your device's camera. The scan analyzes the image and fills in the item name, description, category, and an estimated value, which you review and can edit before saving. Recognition runs on Google Gemini.

**Can I import items from a receipt?**

Yes. Photograph a paper receipt, or pick a screenshot or PDF of an order-confirmation email. ToteTracker reads the line items, sets aside groceries and other consumables (each one is shown, and you can tick it back in), and you review every remaining draft before it saves. Imported items are searchable right away; they save without photos, and you can add those later. A receipt uses 1 Smart Action, however many lines it has.

**Can I add items without taking photos?**

Yes. Scan a product barcode to pull in details from a database of millions of products, import a receipt or order confirmation, describe items to Iris by voice or text — 'I have a drill in the garage toolbox' creates the item hands-free — or add them manually through a form. Manual entry never uses Smart Actions.

**What are Smart Actions and how do they work?**

Smart Actions power ToteTracker's intelligent features. Plus includes 100 Smart Actions a month, and the Free plan is topped up to 10 a month. Single-item photo analysis uses 1 action, a whole-shelf scan uses 3 however many items it finds, receipt import uses 1 per receipt, a successful barcode lookup uses 1, and Iris chat is billed on what each reply actually uses rather than a flat rate.

**Will I run out of Smart Actions?**

For most households, the 100 monthly Smart Actions on Plus cover normal use. A session cataloging 30 items with photos uses about 30-40 actions. If you're doing a major inventory project (like cataloging an entire home at once), you can purchase additional action packs: 500 for $5 or 1,200 for $10. Purchased actions never expire.

**What happens when I run out of Smart Actions?**

If you use all your Smart Actions, you can still browse your inventory, edit items manually, organize containers, and search everything you've cataloged. Only the AI-powered features (photo and receipt scanning, barcode lookup, and Iris chat) pause until your actions refresh next month or you purchase more. We'll notify you when you're running low.

**Do unused Smart Actions roll over to the next month?**

On Plus, up to 100 monthly Smart Actions roll over to the next billing cycle (one month's worth). The Free plan's monthly actions don't roll over. Any action packs you purchase roll over forever — they never expire, whatever plan you're on. Monthly actions are always consumed first.

**Can I organize items into different locations?**

Yes. Create containers like rooms, buildings, boxes, and shelves, then nest them however your space is laid out — for example Building > Room > Shelf > Box. Every item records exactly which container it's in.

**How does Smart Search work?**

Smart Search finds items by meaning, not just exact keywords. Search 'winter gear' and it finds your snow jacket, ski gloves, and wool scarf — even if you named them differently. Results combine instant local matching with semantic search. Smart Search is part of Plus and doesn't use any Smart Actions.

**Does ToteTracker catch duplicate entries?**

ToteTracker checks your inventory once a day and lets you know when something looks logged twice. If you'd rather catch matches while adding, turn on the save-time check in Settings: each new item is compared against what you've already cataloged before it saves, and you decide what happens — add it as a separate item, add to the quantity, or update the existing item's location. Scanning a barcode you've already saved opens that item instead of creating a new one. You can also review similar items already in your inventory and merge the ones that match. Nothing merges until you confirm it.

**Can I print my inventory list?**

Yes. From the items view in a browser, the print button prints exactly the list you're looking at — same filters, same sort — with photos, values, locations, and a total at the top. Photos can be switched off, and the browser's print dialog can save the list as a PDF instead, which is handy for insurance files.

**Is my data secure and private?**

Your data is encrypted in transit and at rest. We use Supabase (built on PostgreSQL) with row-level security policies, so only you and the people you invite to a shared inventory can read it. Images are stored in cloud storage with private access controls, and you can export your data anytime.

**Can I access ToteTracker from multiple devices?**

Yes. On Android, install the ToteTracker app from Google Play; on iPhone and iPad, get it from the App Store. On desktop and laptop, ToteTracker runs in the browser and installs like an app with your browser's Install option. For security, you can be logged in on up to 2 devices at once; signing in on a third signs out the oldest session. Your data syncs in real time across devices.

**Is there a mobile app?**

Yes. ToteTracker is on Google Play for Android and on the App Store for iPhone and iPad — the same app and the same account as the web version. Subscriptions are managed where you started them: on the website, through Google Play, or through the App Store.

**What payment methods do you accept?**

On the website, all major credit cards (Visa, Mastercard, American Express, Discover) through Stripe, our payment processor. In the Android app, purchases go through Google Play; in the iOS app, through the App Store.

**Can I change my plan later?**

Yes. On the web, upgrade or downgrade at any time in your account settings; changes take effect at your next billing cycle. If you subscribed in the Android or iOS app, change plans through Google Play or the App Store. You can also cancel anytime.

**Can I cancel my subscription anytime?**

Yes. Cancel at any time — through the customer portal in your account settings on the web, or through Google Play or the App Store if you subscribed in the app. You keep access until the end of your billing period, with no cancellation fees.

**Do you offer refunds?**

We don't refund partial months — use the 7-day free trial to make sure ToteTracker fits before subscribing.

**Is there a limit on items or storage?**

The Free plan holds up to 50 items and 10 containers in one inventory. Plus raises that to 50,000 items and 2,000 containers. Manual entry, browsing, searching, and editing are always available and unmetered.

**Can I export my inventory data?**

Yes. Settings → Data → Export downloads a ZIP with your items, containers, and all photos. Export is available on the Free plan and on Plus, up to 20 times a week for each inventory. During the 7-day free trial, export opens when you subscribe or buy a Moving Pass, or when the trial ends.

**What happens to my data if I cancel?**

You keep Plus until the end of your current billing period. After that your account moves to the Free plan: everything stays, and you can open, search, edit, and export it. Only adding past the Free plan's limits is blocked, and sharing pauses until you're back on Plus.

**Does ToteTracker work offline?**

Yes. You can browse your inventory and view cached data without an internet connection. Items and containers you add, edit, or delete while offline are saved on your device and sync automatically when you're back online — even if you close the app in between. Photo uploads and AI features need a connection, so an item added offline saves without its photo and you can attach one later.

**Can I share my inventory with family members?**

Yes. Shared inventory lets a household, couple, or small team see and edit the same containers and items. As the owner, you invite people by email from Settings → Manage inventories, and they click the link to join, whether or not they already have an account. Everyone can add, edit, and delete items and containers, and each member can switch between their own inventory and any shared with them. Sharing is part of Plus: the owner of a shared inventory needs Plus, and the people they invite can be on any plan, including Free. Smart Actions are deducted from whoever performs the action.

**How does sharing an inventory work?**

Every account gets its own inventory at signup, so a solo user never has to think about it. To share, the owner invites people by email from Settings → Manage inventories, and the invitee joins by clicking the link in the email — it works whether or not they already have an account, and it expires after about a week. Members switch between their own inventory and any shared with them from the inventory switcher, and the active inventory scopes the whole app, including Smart Search and Iris. There are two roles: the owner can invite and remove members, rename, delete, and transfer ownership; members can read and write. Both can add, edit, and delete items and containers. Because you invite by email and there are no display names, members of a shared inventory can see each other's email addresses.

**How accurate is the automatic valuation?**

The AI provides estimated values based on common market prices and visual analysis. These are estimates and should be verified for important use cases like insurance claims. You can always manually adjust the value for any item.

**Can I use ToteTracker for insurance purposes?**

Yes. Each item carries a photo, description, value, and location, and its additional details hold the serial number, purchase date and price, retailer, warranty, receipts, and extra photos — the documentation an insurance claim asks for. Print the list with those details or export everything, receipts included. People also build inventories for moving, estate planning, and general organization.
